1. Introduction & Data Fiduciary Identity

This Privacy Policy governs the collection, processing, storage, and protection of personal data by Envision Design Studios ("the Studio", "we", "us", or "our"), an architectural and interior design consultancy firm headquartered in India. In compliance with Section 8 of the Digital Personal Data Protection Act, 2023 (DPDP Act 2023) and the Information Technology Act, 2000, Envision Design Studios acts as the Data Fiduciary regarding all personal information collected via our website (meetenvisionstudios.com), the Envision StudioOS enterprise platform, client intake forms, and direct consultancy engagements.

2. Categories of Personal Data Collected

We adhere to the strict principle of data minimization—collecting solely the information strictly necessary to provide architectural consultancy, prepare project feasibility reports, fulfill municipal documentation, and administer the StudioOS Client Portal:

• Identification & Contact Data: Client full name, title, telephone/WhatsApp number, email address, and residential or business billing address.
• Project & Property Information: Site coordinates, cadastral survey numbers, plot dimensions, topographical reports, architectural briefs, photographs of existing structures, and project budget parameters.
• Commercial & Financial Records: Statutory Tax Identification / GSTIN (for institutional/commercial clients), milestone invoices, payment transaction references (UTR/cheque numbers), and verified consultancy vouchers.
• StudioOS Portal Technical Data: Secure authentication tokens (stored in session storage), login timestamps, role access permissions (Master Admin, Studio Team, Client), and UI layout preferences.

Note: We do not collect, process, or store sensitive credit card or net banking numbers. All electronic payments are conducted through direct bank credits (NEFT/RTGS/IMPS) or authorized banking gateways.

3. Purpose of Processing & Lawful Basis

Under Section 4 and Section 7 of the DPDP Act 2023, Envision Design Studios processes your personal data strictly for lawful, explicitly stated purposes:

• Performance of Consultancy Agreement: Executing concept designs, 3D renderings, municipal sanction drawings, structural coordination, and site supervision as per client agreements.
• Project Communication: Sending milestone updates, design revisions, fee notes, and official letters via email, phone, or verified Studio WhatsApp channels.
• Statutory & Regulatory Compliance: Maintaining accounting, tax, and architectural practice records under Indian law, Council of Architecture (COA) standards, and GST regulations.
• Client Portal Security: Facilitating secure, role-authenticated access to drawing revisions, project health metrics, and document repositories on Envision StudioOS.

4. Explicit Consent & Right to Withdraw

Whenever you submit an inquiry form, schedule a design consultation, or access the StudioOS platform, you are provided with clear, accessible notice detailing the processing of your data, and your affirmative consent is obtained via explicit action (such as opt-in checkboxes).

Under Section 6(4) of the DPDP Act 2023, you have the absolute right to withdraw your consent at any time. To withdraw consent, you may contact our designated Grievance Officer via email at envisiondesignstudios01@gmail.com. Upon receiving your withdrawal notice, we will cease processing your personal data within 14 business days, except where retention is legally mandated for ongoing contracts, completed accounting audit trails, or unresolved dispute proceedings.

5. Rights of the Data Principal (Your Rights)

In accordance with Chapter III (Sections 11–14) of the DPDP Act 2023, you possess the following statutory rights regarding your personal information:

• Right to Access: You may request a summary of the personal data held by Envision Design Studios, the processing activities carried out, and the identities of any authorized third-party consultants (such as structural or MEP engineers) with whom data has been shared.
• Right to Correction & Erasure: You may request the correction of inaccurate or incomplete personal records, or the deletion of data that is no longer necessary for the purpose for which it was collected.
• Right of Grievance Redressal: You have the right to register a formal grievance with our Studio Grievance Officer and receive an expeditious resolution within 30 days.
• Right to Nominate: You have the right to nominate an individual who, in the event of death or incapacity, shall exercise your rights as a Data Principal.

6. Data Security, Storage & Confidentiality

We treat all client project documents, architectural layouts, and personal data as strictly confidential. Envision Design Studios enforces multi-layered technical and organizational safeguards:

• Transport Layer Security: All data transmitted between your browser and our servers is encrypted using modern TLS (HTTPS) protocols.
• Infrastructure Protection: Database repositories are managed within enterprise cloud infrastructure (AWS and Supabase) utilizing role-based access control (RBAC), end-to-end authentication tokens, and strict network isolation.
• Zero Unauthorized Selling: We never sell, lease, rent, or trade your personal information to third-party marketing brokers or data aggregators under any circumstances.

7. Data Retention & Disposal

Personal data and associated project archives are retained for the duration of the active consultancy engagement and for a reasonable statutory period thereafter (typically 7 to 8 years) to comply with taxation, accounting, and architectural liability obligations under Indian law. Once the retention period expires, files are securely shredded, permanently overwritten, or irreversibly anonymized.

8. Designated Grievance Redressal Officer

In fulfillment of Section 8(10) of the Digital Personal Data Protection Act 2023, Envision Design Studios has appointed a designated Grievance Officer to address any inquiries, complaints, or rights requests regarding your personal information:

Grievances will be acknowledged within 48 hours and resolved conclusively within 30 days of submission.
